What do I need to know before I add a new hire?

A new hire must be enrolled within 30 days of date of hire.  Otherwise, the employee will not be able to enroll until your next open enrollment.

What do I need to know before I remove an employee who has terminated employment?

A termination must be processed within 30 days of the employee’s termination date.  Otherwise, the carrier will not allow the termination until the end of the month following a late termination request.

What do I need to know before I make enrollment changes due to a Qualifying Life Event (marriage, birth, divorce, loss of other coverage)?

This change must be completed within 30 days of the Qualifying Life Event.  Otherwise, the employee will not be able to make this change until your next open enrollment. You will need to include documentation (i.e. birth certificate, marriage license, loss of job letter from previous employer, expiration of COBRA coverage letter) of the Qualifying Life Event in order for the enrollment to be processed.

How do I process a new hire enrollment or qualifying event (i.e. birth, marriage, divorce) enrollment change ?

As a group administrator, you have a choice of how you process enrollment and benefit changes.   Generally speaking, online enrollments get processed faster than paper enrollments.  You can also email your enrollment paperwork to enrollment@capitolbenefits.com and our team will get it processed within one business day.  Please include your Employer Name in the subject line of the email.

All enrollment forms must be submitted as a Pdf document.  If you do not have a printer with a scanning function, you can also scan with your cell phone either via a scan app or iPhone Notes includes a scanning function.

What is the difference between working directly with the insurance companies for processing enrollment changes and using a third-party administrator (TPA)? 

One advantage that comes with using a third-party administrator is that you can input the enrollment information into their system and they can simultaneously send that information to multiple insurance companies at the same time, saving you from having to process the same enrollment in more than one system.   If you have multiple insurance companies handling your benefits, this is an effective, no cost solution.

Can my employees submit enrollment changes online for themselves?

Yes!  In most scenarios, we can provide an enrollment system that employees can use to process their own enrollment or submit enrollment change requests.   We can configure the system to notify you when this happens.
